A Migration Moves More Than Software
Migrating to Microsoft 365 is a bigger job than most businesses expect walking into it. The platform is not the hard part. What makes it big is everything that moves with it. It’s how your team communicates, where your files live, who can open what, and how every tool you rely on connects back to your email. When all of that runs on a familiar system, even an ageing one, it’s easy to underestimate how much is in motion at once.
For most Victoria and Vancouver Island businesses, the question was never whether Microsoft 365 is worth moving to. They’ve usually settled that before we ever talk. The real question is how to get there without disrupting what already works, and without discovering weeks later that something important never made the trip.
Email Is Just the First System to Move
Microsoft 365 is a platform made of several applications, and a migration reflects that. Wherever you’re starting from, the destination looks the same. Exchange Online takes over email. SharePoint replaces shared file servers or Google Drive for team storage. OneDrive handles individual files. Teams becomes the hub for internal communication and meetings.
In practice, that means several systems move at once while your business keeps running. Email routing stays live the whole way through. Files keep getting edited. Nobody stops working while the transfer happens in the background. Running the old and new environments side by side for a stretch is normal, and it’s also the stretch where a migration either stays clean or starts building up problems that are hard to trace back to their source.
Where You're Starting From Shapes the Plan
Most migrations start from one of two places, either Google Workspace or an on-premise Exchange server. Both finish at Microsoft 365, but the route and the effort to get there differ enough to plan for separately.
Google Workspace tends to be the more straightforward of the two on the email side. Gmail maps reasonably well onto Exchange Online, and the transfer tools are mature. The harder parts sit elsewhere. Google Drive and shared drives use a different permission structure than SharePoint. Gmail filters do not carry across to Outlook and have to be rebuilt by hand. Calendar sharing between users needs reconfiguring, and anything connected to Google Workspace has to be reconnected once the move is done, whether that’s a CRM, an accounting platform, or a helpdesk.
On-premise Exchange is usually the more involved job, mostly because these environments collect layers of configuration over the years. Shared mailboxes for addresses like info@ or support@, room mailboxes for booking meetings, distribution lists, public folders, and delegation setups where one person manages another’s calendar all have to land correctly in Exchange Online. Mailbox size shapes the timing too, since larger mailboxes take longer to move and staff need working access across both systems during the overlap.

The Problems That Don't Announce Themselves
By the time a migration problem gets noticed, the clean window to fix it has often already closed. Something stops working, nobody flags it right away, and it surfaces only once the easy fix is gone. A few come up often enough to plan around directly. MX records point inbound mail at Exchange Online. Switch them before Exchange Online is ready to receive, and messages stop arriving with no bounce and no error, so the business looks unresponsive from the outside. Migration tools also skip items they cannot process. Corrupted mailboxes, oversized attachments, and odd folder structures get left behind, and the tools don’t always log what they missed. That gap can stay invisible until someone goes looking for a year-old client thread and finds nothing, often after the old system is already switched off.
Permissions and connected tools are the other two. Access rights don’t map cleanly from a file server or Google Drive into SharePoint, so people can lose access to folders they use daily or gain access to files they were never meant to see. Software wired into your email tends to break without any alert when the system beneath it changes, such as a CRM that stops logging client messages or accounting software that keeps sending to a mail server that no longer exists. None of it has to happen. It comes down to sequencing the cutover correctly, checking what transferred before the old environment goes offline, confirming permissions against what they were, and testing every email-connected application before the switch, not after.

Running a Migration Without Stopping the Business
Westcom opens every migration with a full inventory before anything moves. That covers mailbox count and size, the data sitting on the file server or in Google Drive, the applications connected to email, and the licence tier that fits how the team works. Through the move, both environments run in parallel until the mail routing is ready to switch. The MX record change happens at the right point in the sequence, once Exchange Online has been verified and is ready to receive. After mailboxes migrate, email counts, folder structures, and calendar data get checked against the source system before it goes offline. Application integrations are tested, permissions are confirmed against what they were, and the security settings Microsoft 365 leaves off by default get configured properly, including multi-factor authentication, retention policies, and external sharing controls.
Device setup closes out the work before cutover. Outlook profiles, mobile accounts, and OneDrive sync are configured across every workstation. For teams spread across more than one Vancouver Island location, that means device setup is coordinated ahead of time, not sorted out site by site on the day.
The Questions That Come Up After Go-Live
No matter how cleanly the move goes, the first week on the new setup is when people start bumping into small unknowns, and that’s normal. Where did calendar sharing move to in Outlook? Why does SharePoint behave differently from a mapped network drive? How do you rebuild in Outlook what Gmail filters used to do on their own? On their own, none of these are hard. Left unanswered, they add up to half-days lost across several people.
